Terms and conditions
The terms that apply when you book or use services from The Brain Physio. Please read them before your first appointment.
1About these terms
These terms apply to everyone who books or receives services from The Brain Physio, including clients, family members or carers acting for a client, and organisations paying for services. By booking an appointment or submitting a referral, you agree to these terms.
2Our services
We provide three separate services for people with Functional Neurological Disorder (FND) and for brain health. They can be used on their own or together:
- FND Consulting (Neurological Physiotherapy): assessment and rehabilitation sessions for FND, delivered by telehealth.
- FND Care Coordination: liaison with your treating team so everyone works from the same plan.
- Brain Health Consulting: a brain health assessment and follow-up sessions, delivered by telehealth.
All services are delivered by telehealth. We do not provide in-person appointments.
We are not an emergency service. If you need urgent medical help, call 000 or go to your nearest emergency department.
3Telehealth
Sessions run on Microsoft Teams. Your booking confirmation includes the meeting link and our telehealth guide. To get the most from your session:
- Use a laptop rather than a phone, with a stable internet connection.
- Choose a private space with enough room to move safely.
- Set your device up to 4 metres away (for the physical assessment) so your whole body is visible during movement tasks.
- For a physical assessment, it helps to have a second person with you. If that's not possible, let us know before your session and we'll plan around it.
If we have concerns about your safety during a session, we may pause or end it and advise you on next steps. Sessions must not be recorded without everyone's consent.
If a session can't go ahead because of a technical problem on our side, we'll reschedule at no cost.
4Bookings and referrals
- Private clients can book an initial consultation online.
- NDIS, Medicare and ICWA clients need to complete the self-referral form rather than booking online, so we can confirm your funding before your first appointment.
- Health professionals, support coordinators and case managers can refer using the forms on our Referrals page, with the client's consent.
Every client starts with an initial consultation. We'll recommend a plan after this. You can then book sessions one at a time, or choose a session pack if you're ready to commit.
5Fees and payment
Current fees are listed on our Services page. We'll confirm the fee before your appointment.
- FND Consulting, your first three sessions: sessions 1 and 2 are 90 minutes each ($418.50 each, at $279 per hour) and session 3 is 60 minutes ($279). Each session is billed separately.
- Single sessions: 60 minutes, $279, booked one at a time with no commitment.
- 6 session pack: available after your first three sessions. Six 60 minute sessions for $1,500 (valued at $1,674).
- Brain Health Consulting: $279 per hour. The initial consultation is 90 minutes and follow-up sessions are usually 60 minutes.
- FND Care Coordination: see section 7.
- Gap payments: where funding or insurance doesn't cover the full fee, you're responsible for the gap.
Private clients: payment is due 2 business days before your appointment to confirm it.
NDIS and other funded clients: invoices are to be paid within 2 weeks.
6Cancellations and missed appointments
We ask for at least 2 business days' notice if you need to cancel or reschedule. This lets us offer the time to someone else.
- Missed appointments (no-shows) are charged the full session fee.
- Late cancellations with less than 2 business days' notice are charged the full session fee.
- NDIS participants: cancellation charges follow the current NDIS Pricing Arrangements.
To cancel or reschedule, email info@thebrainphysio.com.au.
7FND Care Coordination
FND Care Coordination is a separate service from physiotherapy. It usually involves about 30 minutes of coordination a week. For private clients, it's charged at $120 per week. NDIS and insurance-funded clients are billed per hour of coordination.
- We'll agree whether it's billed as a regular weekly charge or ad hoc in the weeks coordination happens.
- Some weeks may need more time and some less. We'll let you know before additional time is charged.
- With your consent, we'll share relevant information with your treating team as part of this service.
8Communication
Email is our main way of contacting clients. Admin replies Monday to Friday, 10am to 12pm (Perth time). If a phone call would help, we'll call you.
Email and our inbox are not monitored for urgent matters. In an emergency, call 000.
9Website information
Information on this website, including our blog and free guides, is general in nature. It isn't medical advice and doesn't replace an assessment by a qualified health professional.
10Privacy
We handle your personal and health information in line with our Privacy Policy.
11Feedback and complaints
We welcome feedback. If you have a concern, please email info@thebrainphysio.com.au and we'll work with you to resolve it.
